Content
The Content tab. The notes you wrote and the files you attached, how to view or delete each, how to take a copy of everything and how to erase it all.
Click your account chip at the bottom of the sidebar, choose Settings, then open the Content tab, in the Your data group.
Content is everything you put into Cluinn: text you wrote, and files you gave it to read. It’s the other half of Memory, which is what Cluinn learns from your calls. Nothing on this page is written automatically, and nothing here has an on/off switch: it’s there because you added it, and it goes when you delete it.
This page is where you take a copy of your data or delete it. You add notes and files on the Calls pages, not here.
Your notes
A note is text you write once and Cluinn reads whenever it answers. A note belongs to one of two places:
| Scope | Where you write it | What it applies to |
|---|---|---|
| A folder | The Files and notes row on a folder’s page | Questions about that folder, and calls recorded in it |
| Every call | The Files and notes row marked All calls, on the Calls home page | Every call and every folder |
Use a folder note for what’s true of one project, and All calls for what’s always true: background about you and your work, a price list, a handbook.
On this page, the Your notes row (“What you wrote for a folder, or for every call.”) has two buttons. View all opens a list of every note you’ve written, each labelled with its folder, or with All calls. A folder that no longer exists is marked as deleted rather than dropped. Click a row to open the same editor as on the folder’s page. Delete all notes removes all of them and nothing else (“Memory, your calls and your files are untouched.”). It’s greyed out when you haven’t written any.
Files
A file is a document you attach so Cluinn can answer from it. Attach one from the same Files and notes row (drag it onto the drop zone or click to choose it), and it’s used with the calls in that folder, or with every call if you attached it to All calls.
Cluinn keeps a copy of the file and the text it pulled out of it. The original on your Mac is never touched or moved.
Cluinn accepts 23 file types, in four families:
| Family | Extensions |
|---|---|
pdf | |
| Documents, spreadsheets and slides | doc docx rtf odt html htm xlsx pptx |
| Plain text | txt md csv tsv json xml yaml yml log |
| Images | png jpg jpeg webp gif |
Anything else is refused, with a message naming the kinds that work. A file whose contents don’t match its extension is refused too.
Size limits are per file: 20 MB for a PDF, document, spreadsheet or slide deck, 10 MB for an image and 2 MB for a plain-text file. You can attach up to 10 files to any one folder and 100 across your whole account; past either, Cluinn asks you to remove one first.
On this page, the Files row (“Copies of the files you attached.”) works like the notes row. View all lists every file with its folder and size, each with a Download button (to get Cluinn’s copy back) and a Remove button. Delete all files clears them all (“Every file you added is deleted from Cluinn’s storage. The originals on your Mac are untouched.”). It’s greyed out when there are none.
A copy of your data
Near the top of the page, A copy of your data (“One file you keep yourself, with its own password.”) has Export… and Import… side by side.
Export
Export… opens a sheet that first tells you what’s going in, with real counts from your account: calls, dictations, personas, snippets. It writes a single .clu file wherever you choose to save it.
What’s in it: your calls and their transcripts, your chats about them, folders and tags, call presets and quick pills, dictation personas, snippets, dictionary words, your dictations, your notes and the text Cluinn pulled out of every file you attached.
What isn’t: your audio (dictation recordings and call audio stay on this Mac), and the attached files themselves, though their text is included.
You choose a password for the file when you export. It’s not tied to your account or your backup: this file still works without either. Nobody can recover the password, us included, so you tick a box saying you understand before Cluinn writes the file.
Warning: Lose that password and the file can never be opened. Keep it somewhere you’ll still have it if the Mac is gone.
Import
Import… asks for the file, then for the password you gave it. It shows what’s inside (how many items, and when it was saved) before anything happens.
An import merges. Nothing on this Mac is replaced or overwritten; the file’s items are added alongside what’s already here, so importing an old copy onto a Mac you use can’t cost you anything.
Export and import are here, not under Backup, because taking a copy of your own data works whether or not encrypted backup is switched on for your account. See Sync & backup.
Erase everything
The last row, on its own: Erase all content (“Every call, dictation, note and file — on this Mac and in your backup.”).
Apart from deleting your account, this is the only control that deletes the cloud copy too, so nothing can undo it. Every other delete on this page leaves something to come back from: another Mac, or your backup. This doesn’t.
Click Erase everything… and a confirmation headed “Erase everything?” spells it out: “Every call, dictation, note and file is deleted from this Mac AND from your backup. There is no copy left anywhere and no way to bring any of it back. Export a copy first if you want to keep any of it.”
Confirm, and Cluinn clears the cloud copy first (the whole backup, and backup turns itself off), then everything on this Mac: calls, dictations, notes, files and memory. If the cloud part fails, it stops there and tells you, rather than wiping this Mac and leaving a copy behind. If encrypted backup was never switched on for your account, there’s nothing in the cloud to clear, and it goes straight to this Mac.
Left alone on this Mac: your account, your plan, your settings, personas, snippets and dictionary. To close the account itself, use Delete account on the Account tab; see Account & billing.
What Basic accounts see
Notes and attached files are part of Pro. On Basic you can’t write a note or attach a file, and the note rows on this page are greyed out: clicking one opens the Plan sheet.
Everything else on the tab works on any plan. Export… and Import… cover your dictations, personas, snippets and dictionary, and Erase everything… clears your dictations, whatever your plan.
