Account & billing

Where to sign in, edit your details, check your plan, find receipts and delete your account, all from the account chip in the app.

The Cluinn app is a free download for macOS; you need a subscription to dictate or record calls. Everything to do with your account starts at one control: the account chip (photo, name, plan) at the bottom of the sidebar. Click it and a short menu opens upward, with Deleted calls, Plan, Usage and Settings, Settings nearest the pointer. It’s for getting around only; nothing in it ends your session. Deleted calls is the only way into deleted calls, and it’s there on any account that has Calls at all.

Your personal details are on the Account tab in Settings. Usage is its own sheet, opened from the same menu.

Signing in

  • Sign in with your email and password, or with Continue with Google.
  • A new account confirms with a 6-digit code sent to your email.
  • Forgot your password? Click Forgot password? on the sign-in screen, enter the 6-digit code from your email, then set a new password (at least 8 characters).
  • Sign in without a plan and you can look around, set up personas and change settings; the Plan sheet opens the first time you try to dictate or start a call.
  • Each account signed in on your Mac keeps its own separate folder there, so recordings and calls never mix between accounts. See Sync & backup.

Your details

Open Settings from the account menu and choose Account, the second tab. The other tabs are listed in General settings.

  • Photo: click it to upload a new one; hover over it to remove it and go back to your initials.
  • Name: first and last name, then Save.
  • Email: type the new address and click Save. Cluinn sends a 6-digit code to the new address to confirm it. If you sign in with Google, you see “You sign in with Google — your email can’t be changed here.”
  • Password: change it in Settings → Security, with two-factor sign-in and your signed-in Macs. See Security.
  • Sign out from your account: the Sign out button. It’s the only Sign out inside the app (the setup and plan screens have their own, so you’re never stuck), and it isn’t in the account menu, so a stray click there can’t end your session.
  • Delete account…: see Deleting your account.

Your plan

Plan in the account menu opens the Plan sheet. Before your first payment it’s a plan picker. Once you have a paid subscription or any billing history, it gains a sidebar with two panes, Plan and Transaction history.

The Plan pane shows your plan’s name, a status (Active, Trial or Payment issue), a date row and a Payment row with the card on file. The date row says what it is: Next renewal on a paid plan, Trial ends on a trial, Access until on a complimentary plan and Ended once it has. Plus:

  • Change plan: switch between Basic and Pro. An upgrade takes effect straight away and starts a new billing period: you’re charged the new plan’s price, less a credit for the unused time on your old plan. A downgrade keeps your current plan until the period you’ve paid for ends, then renews on the new one. On an annual plan, a monthly card that would be a step down is disabled and reads After your annual plan ends. A monthly card that’s an upgrade stays available; otherwise, to leave an annual plan, use Cancel plan.
  • Manage billing: opens the Stripe billing portal to update your card or download invoices. You can cancel there too.
  • Cancel plan: stops your plan from renewing. You keep access until the end of the period you’ve paid for, and a confirmation says so before anything happens.
  • I have a complimentary code: a box to redeem a code, shown when the account has no active paid plan.

After a downgrade, the pane shows a Plan change scheduled note with the plan you’ll switch to and the date. Its Keep button undoes the downgrade, and nothing is charged.

Note: During a free trial, Change plan, Manage billing and Cancel plan aren’t there. Instead there’s a short note (“You’re on a free trial. Plan changes and billing settings open up once your trial ends.”) and a single Cancel trial button, which ends the trial straight away.

Each plan card in the picker (and in the Change plan grid) ends its list of features with a View all link, which opens the pricing page for the full comparison.

Transaction history lists your payments, each with a View receipt link. Before your first payment it reads “No transactions yet.”

If a charge fails, the pane shows a Payment issue note and an Update card button, and your plan keeps working while you sort it out.

Note: You can also manage your subscription on this site, in your account.

Usage

Usage in the account menu opens its own sheet with your activity: Transcribe and Calls tabs, all-time totals and Today, Week, Month, Year and Custom ranges. It’s on every plan. What it shows, and when it mentions your monthly hours, is in Usage.

Deleting your account

Settings → Account → Delete account…. A confirmation asks you to type your account email, and spells out what happens:

  • “Every recording, call and note on this Mac is erased now. Anything held in your encrypted backup is scheduled for deletion and can no longer be reached from the app.”
  • “Your subscription ends immediately.”
  • “The account itself is gone in about 30 days.”

Warning: The erase on your Mac happens at once and can’t be undone. If you want to keep any transcripts, copy or download them first.

If you only want to stop paying, use Plan → Cancel plan instead: you keep access until the end of the period you’ve paid for. On a free trial it’s Cancel trial instead, which ends access straight away, and you aren’t charged.

Common questions

Can I change my email if I sign in with Google?

Not in the app: an account that signs in with Google keeps its Google email. Contact support if you need it changed.

Where do I find receipts?

In two places: the Transaction history pane on the Plan sheet, and Manage billing, which opens the Stripe portal with your invoices.

How do I cancel?

Plan → Cancel plan, then confirm. You keep access until the end of the period you’ve already paid for. The same button is on your account billing page.

If your version of the app has no Cancel plan button yet, use the one on your account billing page, or Manage billing and cancel there.

On a free trial it’s Plan → Cancel trial instead. Manage billing isn’t offered during a trial, in the app or on your account billing page, which has the same Cancel trial button. Cancelling a trial ends access straight away, and you aren’t charged.

Which version of Cluinn am I running?

In the macOS menu bar, choose Cluinn → About Cluinn. That’s the only place the version number is shown: Check now in Settings → General tells you whether you’re up to date, not which version you have.
