What Cluinn collects, why, how long we keep it and what you can do about it, in plain language.

The short version

Your Mac does the transcribing, wherever it can. Cluinn transcribes on your own Mac wherever it can: on a recent Apple silicon Mac with an active plan, your speech becomes text on the machine itself, with no external speech model and no audio uploaded. During a trial, or any time Cluinn can’t run the on-device model, the audio is sent to our servers to be turned into text and discarded straight after. Either way, your audio isn’t kept on our servers.
Your transcripts stay on your Mac. They live on your device and, where encrypted backup is switched on for your account, in an encrypted copy that comes back when you sign in on another Mac.
We never use your content to train AI. Your voice, your words and your screen are used only to run the features you use.
We don’t sell your data. No data brokers and no advertising trackers. We make money from subscriptions.

Who we are

Cluinn is a Mac app for dictation and calls, run by QooQee Inc. in Toronto, Ontario, Canada. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), and we give everyone the rights below. Questions or requests: privacy@cluinn.com.

What we collect, and why

Your account

Your email address, plus your name and picture if you add them. If you sign in with Google, we receive the basic profile Google shares. We use this to sign you in and run your account.

Audio

Recorded when you dictate or use Calls, and used only to turn speech into text. Where that happens is described above. If you choose to save recordings, they stay on your Mac.

Screen captures

Three features send a picture of part of your screen to work:

  • Speaker names. During a call, Cluinn captures the meeting app’s window from time to time and reads the names it shows, so turns carry real names instead of “Speaker 1”.
  • Smart translation. When a persona uses it, Cluinn captures the window you’re typing in, once per recording, only to tell which language it’s in.
  • Visual awareness. Off until you turn it on in the Calls panel. While it’s on, each question you ask sends a capture of the screen your meeting is on (for a call in a browser, only the meeting’s window), or of the screen you’re using if Cluinn can’t find the meeting.

Captures are read on our servers or by an AI provider and aren’t stored, and we never use them to train AI.

Your words

The text Cluinn produces and what you add to it: transcripts, notes, snippets, personas and your dictionary. Transcripts stay on your Mac. To tidy a dictation, answer a question, list takeaways or run Coach, the text is sent to our servers and an AI provider, processed and not kept. Snippets, personas, your dictionary and some settings sync to your account in a form we can read, so they follow you to another Mac. Keep anything private out of them.

Payments

Stripe handles payments. We never see your full card number; we keep your plan, its status and billing period. If you add a payment method, we may keep limited details for fraud prevention, even after you delete your account.

Usage and diagnostics

Technical details about each request (the model, how long it took, token counts and cost), error reports with personal details removed, feedback you choose to send and when the app was last open. Never your audio or the text of your transcripts.

App permissions

Microphone (dictation and calls), Accessibility (hotkeys and typing at your cursor) and Screen & System Audio Recording (call audio and the screen captures above).

The website and cookies

cluinn.com counts visits using a shortened IP address, an approximate location worked out on our own server (never a precise position) and your browser, system and device type. Visit records are deleted after 90 days by default, and none of this is connected to your dictations, recordings or transcripts. Cookies: a sign-in cookie, one that remembers your choice on the consent banner for up to a year and, in preview mode, a temporary access cookie. If you accept analytics, a random visitor ID and Google Analytics’ own cookies are added; declining turns both off. We use no advertising or cross-site tracking cookies.

Encrypted backup

Your transcripts, notes and folders are kept in an encrypted copy on our servers in the United States (New York) where encrypted backup is switched on for your account, so they come back when you sign in on another Mac. Audio is never backed up, and neither are files attached to folders. Turning backup off starts a 7-day grace period before the copy is deleted, and you can change your mind during it. Our storage keeps earlier versions of changed or deleted files for at least 30 days as protection against mistakes. We don’t remove backups for inactivity; if that ever changes, we’ll email you first.

A meeting transcript contains other people’s words, so backing it up stores them too, encrypted. You’re responsible for having their consent, just as you are when it sits on your Mac. If that’s a problem for a meeting, leave encrypted backup off.

Who processes data for us

A few service providers help us run Cluinn, under contract. We don’t sell your data, and we don’t share it with data brokers or advertisers.

  • Stripe handles payments.
  • DigitalOcean hosts our servers and the encrypted backup, in the United States.
  • Google Analytics measures website traffic, only if you accept analytics cookies.
  • Our sign-in and database provider, and our email provider, for your account and the emails we send you.
  • Our mailbox and support-inbox providers, for the emails you send us and our replies.
  • AI and transcription providers that process text, audio or screen captures to provide a feature, under contract. Some keep data for a short time for security and abuse checks.
  • A search provider, if you turn on web search for questions about your calls. It receives a short query, never your transcript or audio, and may use queries to improve its service.

Where data is processed

We’re based in Canada. Our providers process data in the United States and other countries, so your information may be processed outside Canada, under contracts that require comparable protection (for users in the EEA and UK, including the EU’s Standard Contractual Clauses).

How long we keep things

  • Recordings and transcripts: on your Mac until you, or your auto-delete setting, remove them.
  • Audio sent for transcription, screen captures and text sent to AI features: processed, not stored.
  • Your encrypted backup: until you turn it off (after the 7-day grace period) or delete your account.
  • Account, subscription and synced data: while your account is open, then deleted or anonymized within 30 days of deleting it, except records the law requires us to keep and the fraud-prevention details above.
  • Website visit records: 90 days by default.

Your rights

You can ask to access, correct, delete or export your data, and you can withdraw consent at any time. Email privacy@cluinn.com, or delete content and your account in the app; we answer within 30 days. Your backup restores when you sign in on any Mac, and the app’s export gives you a readable copy. In Canada you can also contact the Office of the Privacy Commissioner of Canada. In the EEA or UK you have GDPR rights and can complain to your local data protection authority, and California residents have CCPA rights. We don’t sell or share your personal information.

Voices

We don’t keep voiceprints: voices are told apart on your Mac during a call, and nothing about a voice is saved. Only the names, on the saved transcript, are kept.

Recording other people

Nothing joins your call and Cluinn doesn’t announce itself, so you’re responsible for any consent the law requires before you start transcribing other people. Rules differ by region, and some places need everyone on the call to agree. See our Terms.

Children

Cluinn isn’t meant for anyone under 16, and we don’t knowingly collect children’s data.

Security

Traffic is encrypted with HTTPS, sign-in tokens are kept in the macOS Keychain and our providers encrypt data at rest. If a breach affects you, we’ll tell you and the regulators where the law requires.
